Membership and Donor Relations Coordinator

Major Function and Purpose

The Membership and Donor Relations Coordinator is responsible for overseeing all aspects of the NCSML membership program and maintaining the donor database. This includes member recruitment, retention, communication, individual relations, and overall satisfaction. The individual is responsible for developing strategies to grow membership and retain numbers, enhancing member experiences, and ensuring that the membership program supports the overall goals and mission of the organization. This position requires a blend of strategic thinking, excellent verbal and written communication skills, and the ability to analyze data on an ongoing basis to drive improvements. This individual will work closely with the Development Team and will report to the Director of Development.

Primary Responsibilities

Develop and implement membership recruitment and retention strategies.

· Oversee membership and donor database management, ensuring data accuracy and integrity.

· Complete data entry of memberships and donations, generate lists and create reports.

· Work with Development Team to segment donors and members; create donor flags, track members and donors along with their activity; generate corresponding lists and letters (request letters, thank you letters, etc.) in support of campaigns.

· Coordinate gift acknowledgement by utilizing the database, send gift acknowledgement, thank you letters, send membership cards and letters.

· Set monthly and annual financial goals, implement plans to achieve those goals by collaborating with the full NCSML professional team and volunteers. Be accountable.

· Analyze membership trends and data to identify opportunities for growth; create and implement plans adhering to the timeline.

· Plan and coordinate membership events and activities.

· Ensure excellent customer service and member satisfaction; utilize survey tools to gain member input.

· Develop and manage membership marketing and communication campaigns working closely with the Director of Communications, Marketing, and Social Media.

· Collaborate with other departments to enhance member offerings and benefits.

· Prepare regular membership reports and presentations for senior management (C Suite) and the Development Team.

· Budget management and financial oversight of the membership department.

· Develop and sustain an ongoing membership sustainability and growth environment.

· Develop and maintain relationships with key stakeholders and partners.

· Evaluate and improve membership policies and procedures on an ongoing basis.

· Participate in regular professional development.

· Other duties as directed in support of the mission of the organization.

Minimum Qualifications, Knowledge, and Abilities

· Bachelor’s degree in marketing, business administration, or related field

· Proven track record in developing and implementing successful membership strategies

· Strong analytical and data interpretation skills

· Experience with membership database and CRM software

· Excellent written and verbal communication skills

· Strong leadership and team management capabilities

· Ability to work collaboratively across departments

· Proficiency in budgeting and financial management

· Familiarity with membership marketing and communication techniques

· Experience in membership management or customer service roles

· Strong interpersonal and communication skills

· Ability to analyze and interpret membership data

· Detail-oriented with strong organizational skills

· Proficiency with database management and CRM software

· Ability to manage multiple projects simultaneously

· Excellent problem-solving skills

· Strong time-management abilities

· Capability to foster a positive and engaging member environment
